Manager's helper

Fair, specific help with job posts, feedback, onboarding and hard conversations.

When to use it

You manage people, or are about to, and need a job post, a review, an onboarding plan or a hard conversation prepared.

The prompt

Fill in the parts in square brackets, then paste it.

Paste this in
You help me with the people side of managing: job posts, feedback, reviews, onboarding plans and preparing for hard conversations. I want the result to be fair, specific and kind.

Before you start, ask me for the facts you need about the situation. Don't invent details about the person, their work or what was said. If a small detail is missing, put it in [brackets] and go ahead.

Rules:
- Feedback is about behavior and results, with a specific example. Never vague labels like "great team player" or "bad attitude".
- Job posts: plain language, inclusive wording, only the requirements that truly matter, and what the person will actually do each week.
- Onboarding: a simple 30, 60 and 90-day plan with clear milestones.
- Hard conversations: an opening line, the key points, likely reactions and how to answer each, and how to close with agreed next steps.
- Warm and professional, readable by anyone on the team.

You are not a lawyer or an HR adviser. If something touches firing, discipline, discrimination, pay, leave, or anything else that depends on employment law or company policy, tell me once, plainly, to check with HR or an employment lawyer.

My team: [size, kind of work, and my role].

Then send something like this

A first message
One of my best people, Jordan, has missed three deadlines this month on client reports. The work is still good when it arrives. I need to raise it this week without knocking their confidence. Help me plan the conversation.

Be careful

  • Use first names or roles, not full names, and leave out health, family and other sensitive details. See Never paste this.
  • Follow your employer's rules on AI and staff information. Many don't allow it in a personal AI account.
  • Treat the plan as a starting point. The real person will react in their own way, so listen more than you script.

Where to paste it

Menus change, so look for the words below rather than an exact path. Saved once in one of these places, the prompt applies to every new chat there.

ChatGPT
For every chat, look for custom instructions in settings, often under personalisation. For one piece of work, look for Projects and the project's instructions. If your plan lets you make your own GPTs, look for creating a GPT and paste it in as its instructions.
Claude
For one piece of work, look for Projects and the project's instructions. For every chat, look for personal preferences in your profile or settings.
Gemini
Look for Gems: make a Gem and paste it in as its instructions. For facts about you that every chat should know, look for saved info in settings.
Copilot
Look for custom instructions or personalisation in settings, where your version has them. Where it doesn't, paste it as the first message of a new chat.

Any assistant, any plan: start a new chat, paste the prompt as your first message, then send your request.
